PRIVACY, MEDIA, AND INTELLECTUAL PROPERTY POLICY

This Privacy, Media, and Intellectual Property Policy outlines how Delhi MUN collects, uses, shares, and protects your personal data, digital assets, and physical materials. This policy is strictly formulated in compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act), the Information Technology Act, 2000 (including the SPDI Rules, 2011), the Copyright Act, 1957, the Trade Marks Act, 1999, and the Designs Act, 2000 of India.
1. Data Collection, Notice, and Purpose

Data Collected: As a Data Fiduciary, we collect necessary personal data (including full name, contact details, academic information, medical history for emergencies, and government ID proofs).

Purpose Limitation: This data is collected explicitly for conference logistics, background verification, certificate generation, emergency medical response, accommodation booking, and sponsor engagement. By registering, you provide explicit, affirmative consent for us to process this data.
2. Processing of Children's Data
- In compliance with the DPDP Act, the processing of personal data of Delegates under the age of 18 requires verifiable parental or legal guardian consent. By submitting the registration form on behalf of a minor, the parent/guardian provides absolute consent to this Privacy Policy.
3. Unrestricted Sharing with Authorized Third Parties, Sponsors, and Partners

Payment Processing: To securely process conference fees, necessary billing and contact information is shared with our official payment gateway, Zoho Payments (Zoho Pay). Payments are processed in real-time via an embedded Zoho Payments widget directly within the Portal. Delhi MUN does not collect, transmit, or store any sensitive payment credentials (such as complete card numbers, CVVs, or UPI PINs) on its servers at any point. All such data is handled exclusively by Zoho Pay and is subject to their own stringent security standards and privacy policies. Delegates are encouraged to review Zoho Pay's Privacy Policy before proceeding with payment.

Logistical Sharing: To facilitate the event, Delhi MUN may share Delegate information with authorized Data Processors, including host venues, security personnel, accommodation partners, and printing agencies.

Sponsors and Partner Organizations: By registering, Delegates grant explicit consent for their data (such as name, contact information, and academic details) to be shared with our official sponsors, educational partners, and affiliate organizations. These entities may use this data for networking, recruitment, promotional offers, and collaborative outreach.
4. Irrevocable Media Release and Intellectual Property Rights

Consent to Record: By attending Delhi MUN, Delegates (and their guardians) grant the absolute, worldwide, and irrevocable right to take photographs, record video, and capture audio.

Copyright & Trademark Ownership (Copyright Act, 1957 & Trade Marks Act, 1999): Delhi MUN retains full, exclusive, and unencumbered copyright and trademark rights over all media assets generated during the conference, as well as all official logos, website content, study guides, background matrices, certificates, delegate kits, merchandise, and all other digital and printed materials. We reserve the right to use, publish, and monetize these assets for promotional, commercial, and educational purposes across all platforms in perpetuity, without financial compensation or royalties to the Delegate.

Design Protection (Designs Act, 2000): The unique user interface (UI), user experience (UX) layout, graphic design elements, color schemes, and structural aesthetics of the Delhi MUN registration portal, along with the designs of all printed conference materials, official certificates, delegate kits, placards, and physical branding, are the exclusive proprietary assets of Delhi MUN, protected under the Designs Act, 2000. Any unauthorized reproduction, scraping, imitation, forgery, or reverse-engineering of the portal's design or our physical materials is strictly prohibited and actionable under law.
5. Rights of the Data Principal
Under the DPDP Act, 2023, Delegates (Data Principals) have the right to:

Request the correction or updating of inaccurate data.

Withdraw consent for data processing. Note: Withdrawing consent for essential logistics data will result in the immediate cancellation of the Delegate's registration without any refund.

Request the erasure of personal data post-conference, subject to legal and auditing retention requirements.
6. Data Security, IT Act Compliance, and Liability Disclaimer

Security Measures: In accordance with the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, Delhi MUN implements commercially reasonable digital security practices to protect collected information on our portal.

Waiver of Liability (IT Act, Section 43A): While we strive for absolute security, no digital system is foolproof. To the maximum extent permitted by Indian law, and specifically modifying any implied liabilities under Section 43A of the IT Act, 2000, Delhi MUN, its Secretariat, and its tech partners shall not be held financially or legally liable for any unauthorized access, data breaches, server hacks, or identity theft conducted by malicious third parties beyond our direct control.
7. Communication Consent and Grievance Redressal

Communications: Delegates explicitly consent to receive transactional and promotional communications (emails, SMS, WhatsApp) regarding the conference from Delhi MUN, as well as directly from our official sponsors and partner organizations.

Grievance Officer: In compliance with the IT Act and the DPDP Act, any queries, data rights requests, or grievances regarding privacy may be directed to the designated Grievance Officer at: grievance@delhimun.in.
8. Policy Updates and Amendments

Right to Amend: The Delhi MUN Secretariat reserves the unconditional right to update, modify, or amend this Privacy, Media, and Intellectual Property Policy at any time to reflect changing operational, legal, or financial requirements, without prior individual notice.

Agreement to Future Updates: By registering for the conference or using the portal, the Delegate (and their legally binding parent/guardian) explicitly agrees to be bound by the most current version of this policy. It is the User's responsibility to periodically review this document on our Website. Continued participation or use of the Portal after an update constitutes absolute acceptance of all subsequent modifications.
